How to Lock Network Access for Folios & Room Access in ASI PMS 7X?

A new safeguard designed to prevent accidental overwrites and simultaneous access to the same room or folio by multiple users.

What is Network Lock?

Network Lock automatically protects a room or folio while it is being used by another front-desk user. This helps prevent duplicate edits, overwritten information, and conflicting updates when multiple users are working in ASI PMS at the same time.

What you may see

If one user has already opened a room and another user attempts to open the same room, ASI PMS will display a message similar to the following:

This folio is currently in use by Frontdesk1 as shown in the image below.
If you still want to open the folio, please unlock it first from Frontdesk → Folio Unlock page.

How to Unlock a Folio 

1. Open the main Menu. From the left navigation panel, select FrontDesk. 
2. Select Unlock Folio.
3. Review the list of currently locked rooms/folios and select the room(s) you need to release. 
4. Click the Unlock button located at the bottom-right of the page. 
5. Return to the reservation or room and open it again. 

Important: Only rooms or folios that are currently in use by another user are locked. In normal use, you do not need to manually unlock anything. 

When is Manual Unlock Needed?

The lock is normally released immediately when the original user closes the room or reservation correctly. Manual unlocking is generally required only if the previous session did not close normally. For example, if the browser tab was closed directly, the page was exited without closing the reservation, or the user moved to another view while the folio remained open.

Best practice: Before manually unlocking a room, confirm that the other user is no longer actively working on that reservation. This helps avoid simultaneous edits and protects the accuracy of your guest and folio information. 

Quick Example

Frontdesk1 opens Room 107. While Frontdesk1 is working on the reservation, Frontdesk2 attempts to open Room 107.

ASI PMS prevents Frontdesk2 from opening the folio and displays the Network Lock message.

Once Frontdesk1 closes the room properly, the lock is released automatically.

If the lock remains because the first session ended unexpectedly, Frontdesk2 can use FrontDesk → Unlock Folio to release it.
